Application Guidelines for Project: Commemorating the 425th Anniversary of Japan-Netherlands Exchange

In 2025, Japan and the Netherlands will celebrate the 425th anniversary of their relations. To further enhance the friendship between Japan and the Netherlands, we will approve projects that are suitable to commemorate this anniversary. As part of the "425th Anniversary of Japan-Netherlands Exchange Commemorative Projects."
Projects that receive recognition can use the title "425th Anniversary of Japan-Netherlands Exchange Commemorative Project" and the official anniversary logo on promotional materials (posters, pamphlets, websites, signs, banners, etc.).
The application guidelines are as follows, with applications closing on December 1, 2025. The period for logo usage ends on December 31, 2025.
1. Eligible Projects
(1) Projects in fields such as culture, art, sports, education, tourism, economy, and science that deepen mutual understanding and promote friendship between Japan and the Netherlands. This includes social contribution projects by companies.
(2) Projects primarily held in the Netherlands in 2025.
(3) Projects that do not fall under the following categories:
 A) Projects violating public order and morals.
 B) Projects violating or potentially violating Japanese or Dutch law.
 C) Projects not aligning with the anniversary’s purpose of promoting friendship.
 D) Projects aiming to spread specific ideologies, political views, or religions.
 E) Projects lacking public benefit.
 F) Projects primarily for profit.
 
2. Application Requirements
Organizers should submit the required documents to the Embassy of Japan in the Netherlands at least one month before the event:
(4) Supporting documents such as proposals, exhibitor lists, content summaries (for exhibitions, films, performances, etc.), programs, and application guidelines (for contests).
(5) Documents about outline of the organizer:
 A) List of bord members.
 B) Articles of incorporation or equivalent documents
 C) Group history, past achievements, and activities
 D) Documentation showing the relationship between organizer and applicant if they differ.
 
After submission, the Embassy of Japan in the Netherlands will review the documents, notify the organizer of the results, and send the commemorative logo if the project is approved. Organizers must submit all promotional materials to the embassy for approval before logo usage.
 
3. Important Considerations
(1) During Application:
 A) Submitted documents will not be returned.
 B) If documentation is insufficient, additional information may be requested.
 C) Applications submitted less than a month before the event or with significant deficiencies may not be accepted.
 D) Inquiries about the review process cannot be answered.
 
(2) During Preparation and Implementation:
 A) Even if recognized as a commemorative project, the organizer holds full responsibility for project implementation.
 B) Prompt notification is required if the project is canceled or altered.
 
(3) Recognition Cancellation:
Recognition may be canceled
 A) if unreported changes are made,
 B) if project content conflicts with eligibility requirements, 
 C) if the logo is modified or misused.
 
(4) Project recognition does not imply financial support.
 
(5) This recognition does not imply endorsement by Dutch governmental bodies. Organizers must apply separately for Dutch recognition if needed.
